Instructions for Poster Presenters
Thank you for presenting a poster at SMC2020. Here you will find a guideline for presenting your poster at SMC2020. On this page you can find information on:
- The poster session format
- How to upload/submit materials
- How to present your poster virtually the day of the conference
The Poster Session Format
The 2020 Smoky Mountains Computational Sciences and Engineering Conference will be presented using the Zoom web conferencing platform, along with the event app WHOVA, full details on WHOVA will be emailed to speakers and attendees prior to the event. If you have never used Zoom, instructions on creating an account and basic features can be found here.
- Due to the nature of a live virtual meeting, poster presenters must prepare a 5-minute poster presentation using slides or an academic poster template. Using slides or a poster is up to the presenter. Each presenter will be given 5-minutes to present their poster materials on zoom, which may not be exceeded.

- Presentations will run continuously, one after the other. After the last presentation, presenters will be asked to move to a private, Q&A zoom room and attendees will have the option to float between rooms to ask the presenters questions.
- Following the 5-min presentation, you will be directed to a Q&A zoom link, attendees will have the opportunity to join your room and ask questions.
- Before moving to a Q&A link, presenters are encouraged to watch the entire poster session and move to their Q&A room for Q&A after the last presentation.
- Presenters should plan to stay in their Q&A zoom room, for at least 15-20 minutes, while attendees move between rooms.
- The full poster session, including Q&A, will be one hour.
Before the Poster Session
Prior to the conference date, presenters must email a copy of their poster/presentation to [email protected] or upload a pdf copy of their poster to the SMC20 drop box collection. If you upload your materials to dropbox, please place them under the folder that says “Poster”. Please submit your poster materials, by Monday, August 24th, COB. Please save your poster materials with the following file name (Poster_session number_name). For example, (poster_session 1_SmithJohn). Poster materials will be available for attendees to view on the WHOVA Mobile App and also browsable through the SMC20 website.
